From Process to SOP: Capturing Institutional Knowledge with AI

One of the most costly and invisible risks in any organisation is knowledge that lives only in people's heads. When those people leave, so does the process. AI makes it possible to capture and structure that knowledge fast.

Every organisation has processes that live only in people's heads. They're not documented because there was never time, or because the person who built the process assumed they'd always be there to run it. This creates one of the most significant and underappreciated operational risks in most businesses: knowledge that walks out the door when the person does, taking years of accumulated decision-making with it.

AI makes it possible to capture and structure this knowledge at a fraction of the cost and time it previously required. The key insight is that you don't need the expert to write anything. They just need to talk — to narrate what they do, why they do it in that order, and what they watch out for. AI converts that narration into a structured document in real time, asking clarifying questions and filling in the gaps that the expert takes for granted.
